Workspace and team

Roles and permissions

Updated 1 November 2026 4 min read

Viewer, editor, admin and owner: what each role in a workspace can see and change, in one clear table.

Every member of a workspace has exactly one role. It decides what the person sees in the dashboard and what they can change. Menu items a role cannot use are hidden. Connected AI assistants and API keys can never do more than the role or their permissions allow.

The four roles

Viewer
Sees pages, statistics, versions and most workspace areas, but changes nothing. Individual form submissions, domains, webhooks, short links and API keys stay hidden. The header shows the label “Viewer”. Good for clients who should only see statistics.
Editor
Designs and publishes pages and looks after links, blocks, forms and assets. The right role for everyone who creates content.
Admin
Can do everything editors can, and also manages the team, plan, domains, webhooks, short links, API keys, integrations and push notifications.
Owner
Has all the rights of an admin and is the only one who can change roles. Every workspace has exactly one owner; in your personal workspace that is you.

With the Viewer role, the page list shows only “Statistics” instead of “Builder”, “Settings” and “Links”, and the page editor only has the “Statistics” and “Versions” tabs. If you open a locked page directly by its address, the dashboard redirects you.

On the “Upgrade plan” page, editors and viewers see all plans and prices, but the buttons are locked for them: “Only the workspace owner and admins can change the plan.”

Rules for changing roles

  • Only the owner changes roles, in the dashboard as well as through the API. This is not possible with API keys or AI assistants
  • Admin, Editor and Viewer can be assigned
  • Nobody can change their own role
  • The owner's role cannot be changed through the role selection, and the owner cannot be removed; the owner hands the workspace over with “Transfer ownership” (see Invite members)
  • Nobody can remove themselves from a workspace
  • After a change, the person's sessions in this workspace are ended so the new role applies immediately

Roles and personal areas

Some areas belong to your account, not to the workspace: your profile, password, two-factor authentication, the referral programme, your subscriptions and the list of your connected apps. You always manage these yourself, whatever your role.

If you connect an AI assistant such as Claude or ChatGPT, it can do at most what your role allows in the chosen workspace. See Permissions and security for AI assistants.
